INTRODUCTION
A. OVERVIEW
Power Quote is an easy to use online menu-driven quotation/invoice system.
You enter customers and items into a database using online screens. The
system automatically creates an index for the customers and items entered.
This index can be used to search for customers and items. You specify the
prices and can specify quantity and customer unique discounts. Complete
accounts receivable, inventory and backorder and purchase order tracking is
provided.
The system produces quotations and invoices using the customer and items
that you select. The document produced can be viewed and edited before it's
printed out. The system includes a complete editor. The quote/invoice can be
saved and retrieved and modified at a later date. The templates used to
create quotations and invoices can be customized to your unique format
requirements.
B. SYSTEM REQUIREMENTS
o IBM PC or true compatible
o Hard Disk
o 512K RAM
o DOS 2.0 or greater (DOS 3.0 or greater for mouse)
o Microsoft mouse or compatible (optional - can also be keyboard driven)
C. GETTING STARTED
(1) Install the system. Refer to the installation instructions below.
(2) The system comes with a test database. After you have read the user
manual and are familiar with the system, feel free to generate
quotes/invoices using the test data and the sample quote/invoice
templates. You can also run reports and view and change the test data.
When you are ready to enter your own data, you can erase the test
database by selecting the Database Utilities option under the Utilities
Menu.
(3) Customize the quotation, invoice, label, PO, statement, reminder
notice and letter templates. You can use the Templates option under the
Utilities menu to edit the templates. Refer to the instructions on
customizing templates.
(4) Build the customer database. Refer to the Customer screen instructions.
(5) Build the item database. Refer to the Item screen instructions.
(6) Go to the Change Settings screens (option A under Utilities) and change
the data as required.
(7) At this point, you're ready to create quotes/invoices. Refer to the
Produce Quote/Invoice screen instructions.
D. INSTALLATION
1. Use PKUNZIP to uncompress the file PWRQUOTE.ZIP to a sub-directory on
your hard disk.

2. Switch to the sub-directory containing the uncompressed files.
Example: C:
CD \PCQUOTE
3. Type 'INSTALL' and press Enter.
4. When the system asks you a question, an answer displayed by the system
in brackets such as [Y] is the default if you press the Enter key.
5. The system will prompt you for the drive and sub-directory where you
want to keep the database. Enter the drive and sub-directory as one
string with no embedded spaces. This sub-directory must be different
from the sub-directory that contains the uncompressed Power Quote files.
If the sub-directory does not exist, the system will create it for you.
6. The system will prompt you for the drive and sub-directory where you
want to keep the quotes/invoices/po's that you save. Enter the drive and
sub-directory as one string with no embedded spaces. This sub-directory
must be different from the sub-directory that contains the uncompressed
Power Quote files. If this sub-directory does not exist, the system will
create it for you.
7. Power Quote can take advantage of a RAM disk if one is present. A RAM
disk is an area of memory set aside as a disk drive. If a RAM disk is
present, Power Quote will place the work files on this disk and the
response time will be greatly improved. If you have a RAM disk, answer
'Y' when the system asks you if one is present and enter the drive
letter of the RAM disk when the system prompts you for it.
8. An EGA adapter is capable of displaying 25 or 43 lines on the screen.
A VGA adapter is capable of displaying 25 or 50 lines on the screen.
If you have an EGA or VGA adapter, the system will ask you whether
you wish to have reports displayed in 43 or 50 line mode. In 43 or
50 line mode, there are more lines per screen but the characters in
each line are smaller.
9. The system will ask you if you have a color monitor. Answer with 'Y' if
you have a color monitor attached to your PC. If you have a monochrome
monitor, answer with 'N'.
10. The system will ask you for the number of lines your printer can print
on one page. If you are using portrait type paper (8.5 X 11) and your
printer is printing 6 lines per inch, answer with 54. If you are using
portrait type paper and your printer is printing 8 lines per inch,
answer with 72. If you are using some other type of paper:
(1) Measure the number of inches vertically on one sheet of paper
(2) Subtract 2 from the above figure (this will allow for a one inch
margin on the top and bottom)
(3) Multiply the figure in (2) by the number of lines your printer
prints per inch
The system uses the number of lines entered here to determine when to
start a new page on reports. The system determines when to start a new
page on quotes/invoices/POs by the number of lines in the quote/invoice/
PO template.
11. The system will prompt you as to whether you wish to use the link to

Quicken. Power Quote is designed to send invoice information to Quicken
3.0. It does this by writing invoice information to a file that can be
imported into Quicken. If you answer with 'Y', the system will ask you
for the drive and sub-directory where you want the system to write the
Quicken interface file.
12. The system will prompt you for the drive letter of the disk that was
used to boot up DOS. It needs this information so it can check your
'CONFIG.SYS' file. The following statements must be in this file:
FILES = 25
BUFFERS = 25
If the file 'CONFIG.SYS' does not exist, the system will automatically
create one for you with the two statements above. If the file
'CONFIG.SYS' exists but these statements do not exist, the system will
add these statements to the file. If these statements exist but the
numbers are less than the numbers above, the numbers will be adjusted by
the system. If the system has to modify your 'CONFIG.SYS' file, it will
first create a backup by copying your current 'CONFIG.SYS' file to
'CONFIG.BAK'.
13. If the system had to create a 'CONFIG.SYS' file or modify it, it will
reboot the system for you.
14. To change any of the above parameters, simply install the system again.
Re-installing the system will not affect the data in your database.
E. EXECUTING POWER QUOTE
To run Power Quote:
(1) Change the current sub-directory to the sub-directory where Power Quote
is installed (example: CD \PCQUOTE).
(2) Type: QUOTE and press Enter
F. GENERAL INFORMATION
In screens, pressing the Tab key will advance the cursor to the next field.
Holding down the Shift key and pressing the Tab key will move the cursor to
the previous field. When a field is completely filled with data, the cursor
advances automatically to the next field. Pressing the Home key will move
the cursor to the first field. Pressing the End key will move the cursor to
the last field. When the cursor is within a field, pressing the insert and
delete keys will insert and delete characters.
Whenever a window pops up, pressing the Esc key will delete the window.
White colored fields on screens are required fields. Light blue colored
fields are optional fields. Pick lists can be displayed for fields which
have astericks next to them by pressing the F8 key. Once you are in a pick
list, you can select items by pressing the Enter key or the space bar.
Power Quote is designed to work with a Microsoft or compatible mouse. Moving
the mouse up is the same as the UpArrow key. Moving the mouse down is the
same as the DownArrow key. Pressing the left mouse button is the same as the
Enter key. Pressing the right mouse button is the same as the Esc key.
When entering data in numeric fields, leading and trailing zeros are not
required. The system will automatically add the proper leading and trailing

zeros and perform the proper left and right justification.
When the system asks you a question, the default answer will be displayed.
You can: (1) Press Enter to accept the answer (2) Press the Backspace
key to edit the displayed answer (3) Press any other key to retype the
answer. The system always saves the response to a question and displays that
response when it asks the same question again.
The following files comprise the Power Quote database:

The first 3 sets of files are located in the sub-directory where you told
the system to keep the database. To transfer the database to another
computer, use option C (Backup/Restore) under the Utilities selection on the
Main Menu to backup and restore the database.

This is the main menu for the Power Quote system. To make a selection, use the
UpArrow and DownArrow keys to move the highlight up and down. Press the Enter
key when the highlight is at the proper selection. You can also make a
selection by pressing the 'A' thru 'H' keys.
The following is a summary of each selection:

This screen is used to produce quotations and invoices. You select the customer
and the items from pick lists and enter the quantities requested by the
customer. The system produces a quotation or invoice using the current template.
It automatically extends quantities by unit prices and applies discounts and
sales tax. After the quotation/invoice has been produced, the system takes it
into the system editor. From here you can edit the document and print it out.
The first step in creating a quotation/invoice is to select the customer. You
can enter the customer id in the Cust Id field or press the F8 key when the
cursor is at the Cust Id field.
Pressing the F8 key will bring up a pick list of available customers. Use the
UpArrow, DownArrow, PgUp and PgDn keys to move the highlight to the proper
customer. When the highlight is at the proper customer, press Enter to select
the customer. The system will fill in the customer name and address fields
from the customer database.
If the customer that you selected has comments associated with it, these
comments will be displayed in a pop-up window at this point.
If the customer is new and doesn't exist in the database, assign a customer id
to the customer and enter it in the Cust Id field. Later, when you press F5 to
produce the quote/invoice or Enter to display the total price, you will be
given the option to add this customer to the database.
Next, fill in the CC # (credit card number), Sales Cat, PO, Ship Via, Shipping,
C.O.D, Amt Paid and Comment fields as needed. The Sales Cat is used to classify
sales on the Sales By Category report. It is also used to classify sales
information sent to Quicken. If an amount field has positions after the decimal
point, the decimal point should be entered as part of the field. For example,
$12.59 should be entered as 12.59. If the CC # field is filled in, the invoice
is treated as a cash sale and the Amt Paid field is set equal to the total

invoice amount.
After the customer information has been entered, item information needs to be
entered. To select items, position the cursor in one of the quantity (Qty)
fields and press F8.
This will bring up a pick list of major categories of items. Use the UpArrow,
DownArrow, PgUp and PgDn keys to move the highlight to the proper major
category. When the highlight is at the proper major category, press Enter to
select the major category.
After a major category has been selected, a pick list of sub categories for the
major category selected will be displayed. A selection is made from this pick
list in the same manner as selecting a major category.
After a sub category has been selected, a pick list of item descriptions for the
sub category selected will be displayed. You can select the proper items from
this pick list. When the highlight is at a certain item and Enter is pressed, a
checkmark will be displayed indicating that the item has been selected. Pressing
Enter when the highlight is at an item where there is already a checkmark will
cause the checkmark to disappear and the item to be un-selected.
After you have selected all of the proper items from the item pick list, press
Esc to delete the pick list. At this point, the sub category pick list will be
displayed. You can select another sub category or press Esc again. If you press
Esc again, the major category pick list will be displayed and you can select
another major category. Pressing Esc will always take you back to the previous
pick list. When you have finished selecting items, press Esc to delete the major
category pick list. The items that were selected will be displayed in the bottom
half of the screen. If there is only one unit price (no quantity discounts
apply) the price will be displayed.
At this point, it's time to enter the quantities. Enter the quantities by
tabbing to the proper quantity field and filling in the quantity. Sales returns
should be entered as negative quantities with a leading minus ('-') sign. If the
quantity has 1 or more positions after the decimal point, the decimal point
should be entered as part of the field. For example, 12.5 should be entered as
12.5.
If there are more items on the next page, the PgDn=Next label at the bottom of
the screen will be highlighted. If this label is highlighted, pressing the PgDn
key will bring up the next page of items. Similarly, if there are items on a
previous page, the PgUp=Prev label will be highlighed.
If you wish to delete an item from the quote/invoice, space out the Stock Number
field.
When all the customer, item and quantity information has been entered, press the
F5 key to produce the quote/invoice. To display the total price without
producing the quote/invoice, press the Enter key.
Alternatively, you can enter the quantity in the Qty field and the stock number
in the Stock Number field. When you have filled in all the stock number lines,
pressing the PgDn key will enable you to enter more stock numbers. Pressing the
Enter key will allow you to preview the total price and cause the system to fill
in the Description, Disc and Price fields. Pressing the F5 key will create the
quote/invoice.
When you press the F5 or Enter keys, the system will fill in the Description,
Disc and Price fields if they are blank. This means that if you want the system
to fill in a field, it must be blank. For example, if you change the stock

number and the Description, Disc and Price fields are filled in, the system will
not fill in these fields. You need to space out these fields first. If you want
to change the Disc and Price fields to zero, you must enter a zero in these
fields. Spacing out these fields will cause the system to fill in a value.
You can override the value in any field by typing over it. For example, to
override the price for an item, tab to the proper price field and type in the
new price. This is useful for special order items. For special orders items:
(1) Set up a stock number (2) Enter the stock number in the stock number field
or select it from the pick list (3) Enter the description and the price in the
description and price fields.
If backorders exist for the current customer and the current template is an
invoice template, the system will ask if this is a backorder invoice. Backorder
invoices are used to fill backorders and should be entered separately from new
orders. On backorder invoices: (1) Items which don't have backorders are
ignored (2) If the quantity requested is greater than the backorder quantity,
the quantity requested is adjusted to the backorder quantity (3) If the
quantity requested can't be met because of insufficient stock on hand, the
system will partially fill the backorder and will not generate an additional
backorder (4) The backorder is updated if it was partially filled and deleted
if it was filled (5) The backorder invoice is not billed to the customer if
the Bill BO field on the Change Settings screen is 'Y'. This is because the
backordered items were billed on the original invoice.
The system will take the produced quote/invoice into the system editor. From
here you can edit and print the document. If you make any changes to the
created quote/invoice, you can save the changes by pressing the F2 key. Please
refer to the instructions for the System Editor on its operation. In the System
Editor, form feed characters show up as uppercase L's in column 1. If you have a
color monitor, the form feed characters show up as white colored L's while the
rest of the text is yellow colored. Form feed characters are used to tell a
printer to skip to the top of a new page.
When you return from the System Editor, the system will update the Last Activity
date field on the customer record for the current customer. It will also save
the current quote/invoice if the Auto Save Quotes/Invoices field on the Change
General Settings screen contains 'Y'. Otherwise, the system will ask you if you
wish to save the quote/invoice. When the system saves a quote/invoice, it saves
the quote/invoice information on the screen and the created quote/invoice.
If an invoice is being created, the system will ask you if you wish to finalize
the invoice. When an invoice is finalized, sales, inventory, and accounts
receivable information is posted. After an invoice has been posted no updates
are allowed and the invoice can't be deleted. An invoice is not considered a
sale by the system until it's finalized.
When updating inventory, the system will record backorders for items that are
out of stock.
Pressing the F3 key will toggle the cursor between the Cust Id, the first Qty
and the first Stock No fields. If the cursor is in any of the customer fields,
pressing the F3 key will advance the cursor to the first Qty field. If the
cursor is in any of the Qty fields, pressing the F3 key will advance the cursor
to the first Stock No field. If the cursor is in any other field, pressing the
F3 key will advance the cursor to the Cust Id field.
Pressing the F6 key will display a menu.
Selections A & B are used to retrieve previously saved quotes & invoices.
Quotes/invoices are retrieved by customer id. Therefore, you must first fill in

the Cust Id field before you press the F6 key. Available quotes/invoices are
displayed in a pick list. An '*' next to an invoice number means the invoice
has been finalized.
The system will restore to the screen everything that was on the screen when the
quote/invoice was saved. It will also restore the editor file (DOCUMEN.PRT)
containing the created quote/invoice. Once a quote/invoice has been restored,
you can modify the data on the screen and produce the quote/invoice again by
pressing F5 or use Selection F to edit and/or printout the quote/invoice as it
exists. The system will automatically change the current template to the
template that was used to create the retrieved quote/invoice. This template will
remain in effect until you change it to another template.
Selections C & D are used to delete quotes and invoices that are no longer
needed. The system displays the quote/invoice number, the date it was created
and the comments associated with it in a window. When the highlight is at a
quote/invoice, pressing the Enter key will select/unselect the quote/invoice.
Pressing the Esc key will exit you from the window and delete all the selected
quotes/invoices. Finalized invoices can't be deleted and are not displayed in
the selection window. Finalized invoices are deleted when you perform month end
closing.
Selection E allows you to the change the template that is used in producing
quotes/invoices. If you change the template, the new template will become the
default template until you change it. The name of the current template is
displayed in the upper right hand corner of the screen.
A quote can be changed to an invoice by:
(1) Retrieving the quote
(2) Changing the template to an invoice template
(3) Pressing the F5 key to generate the invoice
Selection F allows you to re-edit or print out the last quote/invoice that was
created by the system.
Selection G prints test labels. This option can be used to align the labels on
your printer.
Selection H will print customer labels for the current customer.
When the system returns from the System Editor, the customer, item and quantity
information is exactly the same as it was before. You can modify the customer
information and quantities and produce another quote/invoice if that is desired.
To start fresh with new information, press the F9 key to clear the screen.
To exit the screen, press Esc.
HOW TO DELETE EXPIRED QUOTES
Option B under the Quote/Invoice selection on the Main Menu is used to delete
expired quotes. The user is prompted for the number of days a quote has been
open. Any quotes which have been open for the specified number of days are
deleted.

This screen is used to create and update the customer database. The customer
database maintains information on addresses, phone numbers, sales tax rates and
discount schedules.
The five discount schedule fields are tied to the discount schedule field on the
Item screen. If an item is coded with a discount schedule number, the discount
percentage in the customer's corresponding schedule number is applied. For
example, suppose an item has the number 3 in the discount schedule field. The
discount percentage in discount schedule 3 for a particular customer will be
applied. The discount schedule allows the application of different discount
percentages to different classes of items. For example, a company may want to
apply one discount percentage against computer hardware items and another
discount percentage against computer software items. This company could code all
the computer hardware items with the number 1 in the discount schedule field on
the Item screen. They could code the number 2 in the discount schedule field on
computer software items. They would then for each customer enter the discount
percentages for hardware and software in discount schedules 1 and 2. The
discount schedule fields can be left blank if there is no discount to be
applied.
The Cust Type field is tied to the 3 Cust Disc fields on the Item screen. If a
customer is coded with a customer type, the discount percentage in the
corresponding Cust Disc field is applied. For example, suppose a customer has
the number 1 in the customer type field. The discount percentage in the first
Cust Disc field on the Item screen will be applied. The customer type allows the
application of different discount percentages to different types of customers.
One type of customers might be retail. Another type might be wholesale.
Descriptions are assigned to customer types on the Change General Settings
screen. Entering 'C' in the Cust Type field will result in the customer
receiving all items at cost.
It is possible for a customer to receive a discount based on the item class and

to receive a discount based on the customer type. In this case, both discounts
are summed and applied to the list price.
The system creates an index on the fields Major Category and Sub Category. This
index can be used to search for a customer. Spelling is critical for these two
fields. For a customer to come under the same Major Category and Sub Category,
the spelling for these fields for a subsequent customer must be the same as the
spelling for a previous customer. For example if a customer is a retailer and
the value entered for the customer in the Major Category field is RETAILER and
the value entered in the Sub Category field is CALIFORNIA, then subsequent
customers who are retailers in California should be coded with the same Major
Category and Sub Category field values.
The field Last Activity records the date of the last activity for a customer. It
is initialized to the current date when a customer record is added. It is
automatically updated when any of the fields in a customer record are changed
and when a quote, invoice or letter is created for the customer.
If all of the Ship To fields are left blank, they are automatically filled in
with the information from the Bill To fields.
If any of the following fields are left blank, they are automatically filled in
with information from the Change Cust/Vendor Settings screen:
(1) Sales Tax
(2) Charge Interest?
(3) Terms
(4) FOB
(5) Ship Via
(6) Credit Limit
Entering 0 in the Credit Limit field means that a customer has an unlimited
credit limit. The credit limit is checked when producing an invoice on the
Produce Quote/Invoice screen.
The field Comments is for adding comments about customers. Comments might
include the fact that a customer has a large outstanding balance or their last
check bounced. When you select a customer on the Produce Quote/Invoice screen,
if there are any comments associated with the customer, they will be displayed
in a pop-up window.
If the Sales Tax or Discount fields contain positions after the decimal point,
the decimal point should be entered as part of the field. For example, 12.59%
should be entered as 12.59.
To add a customer record:
(1) Enter 'A' in the process code field
(2) Fill in the fields
(3) Press Enter
The field Cust Id is the key field and duplicates are not allowed.
Suggestions for customer/vendor id are:
Zip Code + Last Name + First Initial
Area Code + Phone Number
To inquire on a customer record:
(1) Enter 'I' in the process code field
(2) Fill in the Cust Id field

Position the cursor in the Cust Id field and press the F8 key. This will
bring up a pick list of major categories of customers. Use the UpArrow,
DownArrow, PgUp and PgDn keys to move the highlight to the proper major
category. When the highlight is at the proper major category, press Enter
to select the major category. After a major category has been selected, a
pick list of sub categories for the major category selected will be
displayed. A selection is made from this pick list in the same manner as
selecting a major category. After a sub category has been selected, a pick
list of customers for the sub category selected will be displayed. You can
select the proper customer from this pick list. After the proper customer
has been selected, the system will delete all the pick lists from the
screen and leave the corresponding Cust Id in the Cust Id field. If you
press Esc while in the customer pick list, the sub category pick list will
be displayed. You can select another sub category or press Esc again. If
you press Esc again, the major category pick list will be displayed and you
can select another major category. Pressing Esc will always take you back
to the previous pick list.
(3) Press Enter
After you have performed a successful inquiry, pressing the F4 key will
bring up the previous customer. Pressing the F5 key will bring up the next
customer. The system sorts all customers by major category, sub category
and customer id in determining which customers come before or after an
customer. You can perform an add, update or delete on a customer and then
press the F4 or F5 key to get the next or previous customer.
To update a customer record:
(1) Inquire on the customer record that you wish to update
(2) Enter 'U' in the process code field
(3) Update the fields as needed. It is not necessary to re-enter fields where
there are no changes.
(4) Press Enter
To delete a customer record:
(1) Inquire on the customer record that you wish to delete
(2) Enter 'D' in the process code field
(3) Press Enter
When a customer is deleted, any quotes/invoices/backorders for that
customer are also deleted.
To view/delete backorders:
(1) Enter 'B' in the process code field
(2) Fill in the Cust Id field or press the F8 key to select the Cust Id from
the picklist.
(3) A window will pop up in which you can choose to view or delete backorders.
(4) When viewing backorders, pressing the PgDn key will display the next page
and pressing the PgUp key will display the previous page. Pressing the Esc
key will return you to the customer screen.
(5) When deleting backorders, pressing the PgDn key will display the next page
and pressing the PgUp key will display the previous page. Pressing Enter
when the highlight is at a backorder will select/unselect that backorder
for deletion. Pressing the Esc key will delete all selected backorders and
return you to the customer screen.
To clear the screen, press F9. To exit the screen, press Esc.

ACCOUNTS RECEIVABLE
Power Quote uses the balance forward method of maintaining accounts receivables.
In a balance forward system, each invoice is only kept on file during the active
month/period. During the end of month/period routine, all activity is summarized
by account, a balance forward is posted to each account and then the activity is
deleted. Balances are maintained for the following categories:
(1) Current
(2) 31 - 60 days
(3) 61 - 90 days
(4) over 90 days
Payments are always posted to the oldest balance first.

This screen is used to record payments. You select the customer from a pick list
and enter the payment discount, amount received, and check number.
To select a customer, position the cursor in the Cust Id field and press F8.
Select the proper customer from the pick lists displayed. Upon selecting the
customer, the system will fill in the Previous Balance, Current Charges,
Current Payments, and Balance Due fields. The Pay Disc field can be filled in
if a payment discount applies.
Fill in the Amt Rcvd field with the amount received. If a negative amount is
being posted, enter the amount with a leading minus sign. Fill in the Check Or
Reference # field with the check number or reference number. Press F5 or Enter.
To select another customer, simply position the cursor in the Cust Id field and
press F8. To exit the screen, press Esc.

This screen is used to display a customer's charges, payments and balance.
To select a customer, press the F8 key. Select the proper customer from the pick
lists displayed. Upon selecting the customer, the system will fill in the Name
and Address fields. Press F5 or Enter to display the account status for the
selected customer.
To select another customer, press the F8 key.
To exit the screen, press Esc.
MONTH END CLOSING
At the end of the month, customer accounts should be closed. The month end
closing process performs the following for each active customer:
(1) Applies payments to oldest balances first
(2) Summarizes all current charges
(3) Calculates interest where applicable
(4) Computes the balance due
(5) Ages the balance due
(6) Deletes finalized invoices
(7) Deletes payment records
(8) Prints a statement
The month end closing process also prints a report of the monthly invoice and
payment activity for each customer. This report can be reprinted by using the
Reprint Month End Rpt option under the Customer selection on the Reports menu.
Customer statements can be reprinted by using the Reprint Statements option
under the Customer selection on the Reports menu.

The 10 price fields at the bottom of the screen allow you to enter different
prices when different quantities are purchased. It allows you to enter quantity
discount prices. If quantity discounts don't apply, simply enter one price. If
the From Qty And To Qty fields are left blank, they default to 1 and 999,999
respectively.
The Lot Size field is used to specify lot pricing. If an amount is entered in
this field, the price in the first price field is charged for a quantity up to
the lot size. For example, if the lot size is 16 and the first price field
contains $100, a quantity of 1 to 16 will be priced at $100. A quantity of 17
to 32 will be priced at $200 and so on.
The Cost field is used to store the cost of the item. This amount is used when
creating purchasing orders and is used to calculate the sales margin on the
Sales Margin report.
The Keep Inventory field must be 'Y' or 'N'. Entering a 'N' in this field will
identify an item as a non-inventory item. This is useful for items where you
don't want the computer to keep track of inventory.
When the quantity on hand for an inventory item falls below the minimum
quantity, the system will compute the reorder quantity. If the reorder quantity
is greater than zero, the item will appear on the Item Reorder report. The
formula for computing the reorder quantity is:
Max Qty - Qty On Hand + Backorder Qty - Qty On Order
Vendor is a field where suggested vendor(s) for the item can be entered.
The Qty On Hand, Min Qty, Max Qty, From Qty and To Qty fields will all accept
a decimal point for fractional quantities. The decimal point if needed should be
entered as part of the field.
The Last Update field is updated whenever a update is made to the item or
whenever the item is received on a purchase order.
The Last Sold field is updated whenever the item is sold on an invoice.
To add an item record:
(1) Enter 'A' in the process code field
(2) Fill in the fields
(3) Press Enter
The field Stock No is the key field and duplicates are not allowed.
Negative prices (credit amounts) should be entered with a leading minus
('-') sign. If the unit price has 1 or more positions after the decimal
point, the decimal point should be entered as part of the field. For
example, 789.12 should be entered as 789.12

MASS PRICE CHANGES
The Chg Prices selection under the Items menu is used to make mass price
increases or decreases. Prices can be changed by major category, major/sub
category or for all items. When the system asks you for the % Price Chg it's
looking for a percentage. For example, 50.75 would mean increase the prices of
the selected items by 50.75%. -50.75 would mean decrease the prices of the
selected items by 50.75%. If the item contains quantity discount prices, all of
the prices will be updated. When the system asks you for the Decimal Positions
To Round To, it's looking for the number of decimal positions that should be in
the new price. For example, 0 would round the new price to the nearest dollar.
2 would round the new price to the nearest cents.

The Customer Information report prints a listing of customer information.
The Customer Contacts report lists a customer's name, phone number and primary
person to contact.
The Account Receivable Aging report prints a listing of the aging of customer
balances.
The Month End Account Detail report lists the activity for a customer for the

month. The Month End Account Detai report is usually printed by the Month End
Closing program. This is a reprint feature and should be run after you have
performed month end closing.
The Customer Statements report prints an account statement for each active
customer. Customer statements are usually printed by the Month End Closing
program. This is a reprint feature and should be run after you have performed
month end closing.
The Reminder Notices report prints reminder notices for customers.
The Item report prints a listing of item information.
The Price List report prints a report for each of the three customer types
consisting of the following fields:
(1) Item Description
(2) List Price
(3) Discount
(4) Net Price
The List Price is derived by applying the markup percentage to the price in the
first unit price field. This report only lists the first unit price for an item.
The Price List report also prints a report listing the cost of each item.
The Qty Disc Price List lists the quantity discount prices for items. The List
Prices are derived by applying the markup percentage to the unit prices.
The Items To Reorder report lists inventory items where the quantity on hand is
less than the minimum quantity and the quantity to reorder is greater than zero.
The quantity to reorder is calculated as follows: Max Qty - Qty On Hand +
Backorder Qty - Qty On Order.
The Items On Order report lists inventory items where the quantity on order is
greater than zero.
The Items Backordered report lists by customer, items that are backordered.
The Fillable Backorders reports lists by customer, items that are backordered
which have sufficient stock on hand to completely or partially fill the
backorder.
The Physical Inventory report lists for inventory items the quantity on hand. It
includes room for a hand written physical count. This report is used when
performing a physical inventory. Non-inventory items are not listed.
The Sales By Item report lists in descending order, sales dollars by item.
The Sales By Category, Customer and Customer Type reports list in descending
order, sales dollars by category, customer and customer type respectively.
The Sales By Margin report lists in descending order, sales margin by item.
The Test Labels selection prints test labels on your printer. This selection
can be used to align the labels on your printer.
The Customer Labels selection prints customer labels. Labels can be printed by
major & sub categories and for customers with or without activity for a
specified time period.

The Vendor Labels selection prints customer labels. Labels can be printed by
major & sub categories and for vendors with or without activity for a specified
time period.
The Open POs report lists all POs that are open (all the items have not been
completely received). The report is sorted by PO date from the oldest to the
newest PO.
The PO reports lists all POs in the database regardless of whether they are open
or closed.
The Vendor Information report prints a listing of vendor information.
The Vendor Contacts report lists a vendor's name, phone number and primary
person to contact.
HOW TO VIEW A REPORT ONLINE
To go forward one page, press the PgDn key. To go backward one page, press the
PgUp key. If the report is greater than 80 columns wide, you can use the
LeftArrow key to scroll the report to the left. The RightArrow key scrolls the
report to the right. To go to the top of the report, press the Home key. To go
to the end of the report, press the End key.
To print the report to the printer, press F2. The system will pop up a window
and ask you for the starting and ending page numbers. If the starting page
number is left blank it will default to page 1. If the ending page number is
left blank it will default to the last page. Since each screen can only contain
23, 41 or 48 lines, it is possible for a physical report page to take up more
than one screen. For example, it is possible that report page 1 may take 3
screen pages. When the system prompts you for the staring and ending page
numbers to print, it is looking for the physical report page numbers.
To exit from the online report viewer, press Esc.

is exceeded, the system will start over at 1.

system adds one to this field to determine the next invoice number. The
maximum invoice number allowed is 99,999,999. If the maximum invoice
number is exceeded, the system will start over at 1.
(4) Bill Back Orders
The values for this field are 'Y' or 'N'. If this field contains 'Y',
back order quantities are priced on invoices. If this fields contains
'N', back order quantities are not priced on invoices.
(5) Quote/Invoice Template
This field contains the name of the quote/invoice template that is used
on the Produce Quote/Invoice screen. If the current template is changed
on the Produce Quote/Invoice screen, this field is automatically
updated.
(6) Sort On Cust Id?
The values for this field are 'Y' or 'N'. If this field contains 'Y',
the customer pick list will be sorted by the customer id and the
customer id will be displayed in the pick list. If this field contains
'N', the customer pick list will be sorted by the customer name.
(7) Label Template
This field contains the name of the template that is used when printing
labels.
(8) Cursor Speed
This field defines the cursor speed. It defines the speed at which the
cursor moves when a key is held down. It contains a value between 0 and
7. 0 is the slowest cursor speed and 7 is the fastest. The default
cursor speed is too slow for most typists. This becomes apparent when
trying to move the cursor across the screen in the System Editor. You
can use this field to speed up the cursor. This feature is supported
only on 286, 386, 486 and PS/2 computers. It is ignored on 8086 and
8088 based computers.
(9) Customer Type 1 Thru 3
These fields allow you to specify titles for the 3 customer types.
These titles are printed on the Price List reports.
(10) Pause Between Pages?
The values for this field are 'Y' and 'N'. If you are using single
sheet paper instead of continuous paper, enter 'Y' in this field. If

this field contains 'Y', the system will pause after printing a page.
(11) Auto Save Quotes/Invoices?
The values for this field are 'Y' and 'N'. If this field contains 'Y',
quotes/invoices on the Produce Quote/Invoice screen are automatically
saved.
(12) Database Backup Drive
This field contains the letter of the disk drive that the system uses
when backing up the Power Quote Database.
(13) Bank Acct
This field contains the name of the Quicken bank account under which to
record payments on invoices. If you are not using the Quicken link,
this field should be left blank.
(14) Include Cust Id?
The values for this field are 'Y' and 'N'. If this field contains 'Y',
the customer names written to the Quicken interface file will contain
the customer id. Use this option if you know that there are duplicate
names in your customer database. Quicken can't tell the difference
between two names that are spelled exactly the same. If you are not
using the Quicken link, this field should be left blank.
(15) Company Name
This field contains the name of your company. This field in printed in
report titles.
(16) Print Control File
This field contains the name of the current print control file. Print
control files define the various print fonts used in templates. There
are 4 default printer control files:
EPSON: Epson compatible printers
IBM: IBM compatible printers
LASERJET: Laserjet, Laserjet II and Laserjet IIP compatible printers
LASERIII: Laserjet III compatible printers
You can also create your own print control files. See How To Use
Different Print Fonts.
(17) Print To
This field contains the name of the printer to write output to. Valid
values are:

If these fields are filled in, the user will be prompted for a
password. Either password must be entered before any access to the
system is allowed. A user entering the inquiry password can't perform
any updates to the data but can do inquiries, run reports and produce
quotes, invoices, letters and POs.
(19) PO Template
This field contains the name of the PO template that is used on the
Produce PO screen. If the current template is changed on the Produce PO
screen, this field is automatically updated.
(20) Last PO #
This field contains the last PO number and can be updated to your
starting PO number. The value in this field must be numeric. The system
adds one to this field to determine the next PO number. The maximum PO
number allowed is 99,999,999. If the maximum PO number is exceeded, the
system will start over at 1.

C. SYSTEM EDITOR
Entering And Editing Text:

You enter text in the System Editor in much the same way as you enter text
on a typewriter, and most of the keys on the keyboard behave in the same
fashion (pressing Enter terminates a text line, for example). But there are
many important differences.
The cursor always indicates where new text will be entered, and you can move
the cursor in a number of ways (the commands to do so are described later).
You can correct mistakes quickly and easily using the delete commands. You
can locate a particular string of text with the Find command and optionally
replace it with another string using the Find-and-replace command.

down the Ctrl key and press the second key. In the case of commands using
Ctrl and two keystrokes (for example, Ctrl-QF), you hold Ctrl down only

The Editing Screen:

The top line of any editing screen is always a status line providing the
following information:
Command Echo
When the first key of a command assigned to two keystrokes is pressed, the
keystroke is echoed at the left edge of the status line. For example, if
you start to enter a command that begins with Ctrl-Q (such as Ctrl-QF), ^Q
will appear until the second keystroke has been entered.
Line n
Shows the number of the line containing the cursor, counted from the start
of the file.
Col n
Shows the column number containing the cursor.
Insert
Indicates that Insert mode is in effect.
Indent
Indicates that Autoindent mode is in effect. Ctrl-QI toggles autoindent on
and off; refer to the Toggle autoindent command.
X:FILENAME.EXT
The drive, name, and extension of the file being edited. Although the
editor accepts path designations--for example, C:\DOS\SAMPLE.DOC--the path
name will not be displayed on the status line.

line without inserting a new line, whether Autoindent mode is in effect or

Inserts a new line break at the cursor's position. The cursor does not move.
Delete current character Del
Deletes the character over the cursor and moves any characters to the right
of the cursor one position to the left.
Delete character left Backspace
Moves the cursor one character to the left and deletes the character
positioned there. Any characters to the right of the cursor are moved one
position to the left. If the cursor is at column 1 at the time the command
is given, the invisible end-of-line marker for the previous line is deleted
instead, and the two lines are joined.
Delete to the end of the line Ctrl-QY
Deletes all text from the position of the cursor to the end of line.
Delete Line Ctrl-Y
Deletes the line containing the cursor and moves any line below it up one
line. The cursor moves to column 1 of the next line.
Block Commands:
---------------
A block is any arbitrarily defined, contiguous unit of text; a block can be
as small as a single character or as large as an entire file. Mark a block
by placing a begin-block marker at the first character in the desired block
and an end-block marker just beyond the last character. Once marked, the
block can be copied, moved, deleted, or written to a file.
Although marked blocks are normally highlighted, the block may be "hidden"
(or made visible) with the Hide block command. Many of the block-
manipulation commands described here work only when the block is being
displayed.
Begin block F7
Marks the beginning of a block. The marker itself is not visible on the
screen, and the block becomes visible only when the end-block marker is set.
End block F8
Marks the end of a block. Like the begin-block marker, the end-block marker
is invisible, and the block itself will not be displayed unless both markers
are set.
Copy block Ctrl-KC
Creates a copy of a marked and displayed block at the current cursor
position. The original block is left unchanged, and the markers are placed
around the new copy of the block.
Move block Ctrl-KV
Moves a marked and displayed block from its current position to the cursor's

position. The markers remain around the block at its new position.
Delete block Ctrl-KY
Deletes a marked and displayed block.
Hide block
Toggles off and on the visual marking of a block. Block-manipulation
commands work only when the block is being displayed.
Read block from file Ctrl-KR
Reads a file into the text at the cursor's current position exactly as if it
were copied from another part of the text. The file read in is marked as a
block. When you use this command, you are prompted for the name of the file
to read. If you have used this command earlier in the editing session, the
last file name entered will be displayed. You may enter a new file name,
make minor changes to the one displayed using the BackSpace key, or accept
it by pressing Enter. The file specified may be any legal file name,
including a drive and / or path identifier. Cancel the command by pressing
Ctrl-U.
Write block to file Ctrl-KW
Writes the currently marked block to a file. The block is left unchanged,
and the block markers remain in place. You are first prompted for a file
name. The file specified can be any legal file name, including a drive and /
or path identifier. You should avoid using file names with the extension
.BAK, because this extension is used by the editor when creating backup
files. If the file specified already exists, you are asked if you want to
overwrite it. If you press N (for No), you can enter a new file name, make
minor changes to the current one using the BackSpace key, or cancel the
command by pressing Ctrl-U. If no block is marked, this command is ignored.
Print Ctrl-KP
Prints the currently marked (and displayed) block on the default printer. If
no block is marked or if the marked block is hidden, the entire file is
printed.
Miscellaneous Commands:

Toggle insert mode Ins
Selects Insert or Overwrite mode. In Insert mode, text to the right of the
cursor is moved to the right as new text is entered. In Overwrite mode, any
text above the cursor is overwritten when new text is entered.
Toggle autoindent Ctrl-QI
When Autoindent mode is in effect, the New line command (Enter) will move
the cursor to the next row and to the same column as the first nonblank
character on the previous line.
Find Ctrl-QF
Lets you search for a string of up to 30 characters. When you enter this
command, the status line is cleared and you will be asked for a search

string. The last search string entered (if any) will be displayed. You can
select it again by pressing Enter, edit it, or enter a new search string.
When editing strings, Backspace deletes the previous character, Ctrl-R
restores the previous string, Ctrl-S moves the cursor to the left, and
Ctrl-D moves the cursor to the right. Esc will cancel a search command.
After the search string is entered, you must specify your search options.
The options you used last, if any, are displayed. You can enter new options
(canceling the old ones), edit the current options, or select them again by
pressing Enter. The following options are available:
B Searches backwards from the current cursor position toward the beginning
of the file.
n n may be any number. Find the nth occurrence of the search string,
counted from the current position of the cursor.
U Ignore case; treats all alphabetic characters as if they were uppercase.
W Searches for whole words only; skips matching patterns embedded in other
words.
If the text contains a target match the search string, the cursor is
positioned at the end of the target.
Find and replace CtrlQA
This operation works the same as the Find command, except that you can
replace the "found" string with any other string up to 30 characters. After
entering the search string, you are asked to enter the replacement string.
The last replacement string, if any, will be displayed; you can accept it,
edit it, or enter a new string.
Finally, you are prompted for options. The options you used last are
displayed at first. You can enter new options (canceling the old ones), edit
the current options with the Backspace key, or select the same options by
pressing Enter. The options available are the same as those for the Find
command with the exception of th following:
G Searches globally. The entire file is scanned for the search string,
regardless of the current position of the cursor. The search starts at
the beginning of the file if searching forwards; at the end if searching
backwards.
N Replaces without asking. Does not prompt for confirmation at each
occurrence of the search string.
If the text contains a target matching the search string, the cursor is
positioned at the end of the target. You are then asked if you wish to
replace it. Press Y to replace it, or N to ignore it. Yo can abort the
operation by pressing Ctrl-U. If you selected the N (no prompting) option,
this question will not be asked.
Find next Ctrl-L
Repeats the last search operation. If the last search command called for a
Find operation, the same search string and options will be repeated; for a
Find-and-replace operation, the replacement string will be reused as well.

If changes have been made to the file, you are prompted as to whether you
wish to save these changes. Press Y to save the changes and exit the editor.

Saves changes made to the file and exits the editor.
D. BACKUP/RESTORE
It is strongly recommended that the Power Quote database be backed up
periodically. Option C under the Utilities selection on the Main Menu can be
used to backup and restore the Power Quote database.
The disk drive that the system uses to backup the database is specified on
the Change General Settings screen (option A under the Utilities selection).
The backup disk drive can't be the same as the drive where Power Quote is
located.
The backup diskette must be formatted. The system erases all existing files
on the backup diskette and writes the database to the root directory. If the
backup diskette runs out of space, the system will automatically prompt you
to insert additional diskettes.
The system will only restore backups that were created with the current
version. This means that you should make a new backup of the Power Quote
database every time you install a new version of the system.
E. TEMPLATES
This option is used to edit, create and delete templates. If Edit or Delete
Template is selected, the system will display a pick list of available
templates. If Create Template is selected, the system will ask for the name
of the template to create. Enter a 1 to 8 character name. Do not include a
file extension. The system automatically appends .TPL to the name.
F. IMPORT/EXPORT
This option loads data into the Power Quote database from an external ascii
file (import) and writes the Power Quote database to an external ascii file
(export).
Data is imported/exported from the file \datasubdir\PCQUOTE.EXP where
\datasubdir\ is the name of the sub-directory where you told Power Quote to
keep the database. The layout of of this file is as follows:

Do not use the import feature to bypass the edits on the customer, vendor
and item screens. The import program only checks for duplicate customer/
vendor ids and stock numbers. The program will ask you whether you wish to
replace customers, vendors and items that already exist in the database. If
you answer with 'N', duplicate imported data will be rejected. If you answer
with 'Y', all information for customers, vendors and items that already
exist in the database will be replaced except for the following fields:
Items: Last Update, Quantity On Hand, YTD Quantity Sold, Back Order
Quantity, Last Sold, Total Sales, Total Cost Of Sales

G. EXECUTING DOS COMMANDS
This selection loads the DOS Command Interpreter. This Interpreter can be
used to execute DOS commands and other DOS programs without exiting Power
Quote. To return to Power Quote from the Interpreter, type EXIT and press
Enter.
Any DOS program that is run by the Interpreter is loaded into memory beneath
Power Quote. This means that large programs will probably run out of memory.
Memory resident programs such as MODE.COM should not be loaded using the
Interpreter. For memory resident programs, you should exit Power Quote and
then load them.
Do not attempt to return to Power Quote while you're in the Interpreter by
typing QUOTE and pressing Enter. This will load a secondary copy of Power
Quote and will eventually cause you to run out of memory. The proper way to
return to Power Quote from the Interpeter is to type EXIT and press Enter.
H. Database Utilities
This selection has the following options:
A -> Rebuild Index
B -> Erase Database
C -> Zero YTD Totals
Power Quote automatically maintains index files for the customer and item
information. These indexes enable you to find customers and items quickly.
Sometimes, the indexes get out of synch with the data files. When that
happens, you need to reindex. Option A is used to reindex the Power Quote
database.

Here are some reasons why you would want to reindex your database:
o You accidently erase some index files (those ending in .KEY).
o You accidently erase some quote/invoice/PO files (those ending in .QUO,
.INV or .PO)
o You get an error message such as Turbo Access Fatal Error 100.
o You can't find a record and you know you didn't delete it.
o You see duplicate entries in the customer or item pick lists.
o You get a different record than the one you tried to call up.
o You deleted a lot of customers and/or item records and you want to
reclaim the disk space occupied by these records.
Since you can't hurt anything by reindexing, the general rule is: When
in doubt, reindex!
Option B is used to erase all the data from the Power Quote database. This
is useful when you wish to erase the database and start fresh with new data.
This option can be used to erase the test database.
Option C is used to set the YTD sales totals on the database to zero. This
should be performed at the beginning of your business year.
I. Clear Quicken File
This selection is used to clear the Quicken interface file once you have
imported the invoice/payment information to Quicken. Since Power Quote
always adds new invoice/payment information to the end of this file, this
file needs to be cleared once the information has been transferred to
Quicken.
J. Chg Transaction Date
The date displayed in the upper right hand corner of the Power Quote Main
Menu is the date used in all transactions and reports. This date defaults
to the current date. This selection is used to change the transaction date
to a date other than the current date.

The first step in creating a letter is to select the customer/vendor. You can
enter the customer/vendor id in the Cust/Vendor Id field or press the F8 key
when the cursor is at the Cust/Vendor Id field.
Pressing the F8 key will bring up a pick list of available customers/vendors.
Use the UpArrow, DownArrow, PgUp and PgDn keys to move the highlight to the
proper customer/vendor. When the highlight is at the proper customer/vendor,
press Enter to select the customer/vendor. The system will fill in the name and
address fields.
If the customer/vemdor is new and doesn't exist in the database, assign a
customer/vendor id to the customer/vendor and enter it in the Cust/Vendor Id
field. Later, when you press F5 or Enter to create the letter, you will be given
the option to add this customer/vendor to the database.
Once you've selected a customer/vendor, the next step is to fill in the Subject
field and press the Enter or F5 key.
The system will take the created letter into the system editor. From here you
can type in the rest of the letter. Please refer to the instructions for the
System Editor on its operation.
When you return from the System Editor, the system will update the Last Activity
date field for the current customer/vendor.
Pressing the F6 key will display a menu.
Selection A allows you to the change the template that is used in creating
letters. If you change the template, the new template will become the default
template until you change it. The name of the current template is displayed in
the upper right hand corner of the screen.
Selection B allows you to re-edit or print out the last letter that was created

This screen is used to create and update the vendor database. This information
is used in producing purchase orders.
The system creates an index on the fields Major Category and Sub Category. This
index can be used to search for a vendor. Spelling is critical for these two
fields. For a vendor to come under the same Major Category and Sub Category,
the spelling for these fields for a subsequent vendor must be the same as the
spelling for a previous vendor. For example if a vendor is a computer dealer and
the value entered for the vendor in the Major Category field is COMPUTERS and
the value entered in the Sub Category field is MICROCOMPUTER, then subsequent
vendors who are computer dealers should be coded with the same Major Category
and Sub Category field values.
The field Last Activity records the date of the last activity for a vendor. It
is initialized to the current date when a vendor record is added. It is
automatically updated when any of the fields in a vendor record are changed and
and when a PO or letter is created for the vendor.
If any of the following fields are left blank, they are automatically filled in
with information from the Change Customer/Vendor Settings screen:
(1) Sales Tax
(2) Terms
(3) FOB
(4) Ship Via
The field Comments is for adding comments about vendors. Comments might include
the fact that a vendor has a long lead time on delivering certain items. When
you select a vendor on the Produce PO screen, if there are any comments
associated with the vendor, they will be displayed in a pop-up window.
If the Sales Tax field contain positions after the decimal point, the decimal

point should be entered as part of the field. For example, 6.5% should be
entered as 6.5.
To add a vendor record:
(1) Enter 'A' in the process code field
(2) Fill in the fields
(3) Press Enter
The field Vendor Id is the key field and duplicates are not allowed.
To inquire on a vendor record:
(1) Enter 'I' in the process code field
(2) Fill in the Vendor Id field
or
Position the cursor in the Vendor Id field and press the F8 key. This will
bring up a pick list of major categories of vendors. Use the UpArrow,
DownArrow, PgUp and PgDn keys to move the highlight to the proper major
category. When the highlight is at the proper major category, press Enter
to select the major category. After a major category has been selected, a
pick list of sub categories for the major category selected will be
displayed. A selection is made from this pick list in the same manner as
selecting a major category. After a sub category has been selected, a pick
list of vendors for the sub category selected will be displayed. You can
select the proper vendor from this pick list. After the proper vendor has
been selected, the system will delete all the pick lists from the screen
and leave the corresponding Vendor Id in the Vendor Id field. If you press
Esc while in the vendor pick list, the sub category pick list will be
displayed. You can select another sub category or press Esc again. If you
press Esc again, the major category pick list will be displayed and you
can select another major category. Pressing Esc will always take you back
to the previous pick list.
(3) Press Enter
After you have performed a successful inquiry, pressing the F4 key will
bring up the previous vendor. Pressing the F5 key will bring up the next
vendor. The system sorts all vendors by major category, sub category and
vendor id in determining which vendors come before or after a vendor. You
can perform an add, update or delete on a vendor and then press the F4 or
F5 key to get the next or previous vendor.
To update a vendor record:
(1) Inquire on the vendor record that you wish to update
(2) Enter 'U' in the process code field
(3) Update the fields as needed. It is not necessary to re-enter fields where
there are no changes.
(4) Press Enter
To delete a vendor record:
(1) Inquire on the vendor record that you wish to delete
(2) Enter 'D' in the process code field
(3) Press Enter
When a vendor is deleted, any purchase orders for that vendor are also
deleted.
To clear the screen, press F9. To exit the screen, press Esc.

This screen is used to produce purchase orders. You select the vendor and the
items from pick lists and enter the quantities to order. The system produces a
purchase order using the current template. It automatically extends quantities
by unit prices and applies sales tax. After the PO has been produced, the system
takes it into the system editor. From here you can edit the document and print
it out.
The first step in creating a PO is to select the vendor. You can enter the
vendor id in the Vendor field or press the F8 key when the cursor is at the
Vendor field.
Pressing the F8 key will bring up a pick list of available vendors. Use the
UpArrow, DownArrow, PgUp and PgDn keys to move the highlight to the proper
vendor. When the highlight is at the proper vendor, press Enter to select the
vendor. The system will fill in the vendor name and address fields from the
vendor database.
If the vendor that you selected has comments associated with it, these comments
will be displayed in a pop-up window at this point.
If the vendor is new and doesn't exist in the database, assign a vendor id to
the vendor and enter it in the Vendor field. Later, when you press F5 to
produce the PO or Enter to display the total price, you will be given the option
to add this vendor to the database.
Next, fill in the Shipping, C.O.D., Ship Via, FOB, Terms and PO Comment fields
as needed. If an amount field has positions after the decimal point, the decimal
point should be entered as part of the field. For example, $12.59 should be
entered as 12.59.
After the vendor information has been entered, item information needs to be
entered. To select items, position the cursor in one of the quantity (Qty)

fields and press F8.
This will bring up a pick list of major categories of items. Use the UpArrow,
DownArrow, PgUp and PgDn keys to move the highlight to the proper major
category. When the highlight is at the proper major category, press Enter to
select the major category.
After a major category has been selected, a pick list of sub categories for the
major category selected will be displayed. A selection is made from this pick
list in the same manner as selecting a major category.
After a sub category has been selected, a pick list of item descriptions for the
sub category selected will be displayed. You can select the proper items from
this pick list. When the highlight is at a certain item and Enter is pressed, a
checkmark will be displayed indicating that the item has been selected. Pressing
Enter when the highlight is at an item where there is already a checkmark will
cause the checkmark to disappear and the item to be un-selected.
After you have selected all of the proper items from the item pick list, press
Esc to delete the pick list. At this point, the sub category pick list will be
displayed. You can select another sub category or press Esc again. If you press
Esc again, the major category pick list will be displayed and you can select
another major category. Pressing Esc will always take you back to the previous
pick list. When you have finished selecting items, press Esc to delete the major
category pick list. The items that were selected will be displayed in the bottom
half of the screen.
At this point, it's time to enter the quantities. Enter the quantities by
tabbing to the proper quantity field and filling in the quantity. If the
quantity has 1 or more positions after the decimal point, the decimal point
should be entered as part of the field. For example, 12.5 should be entered as
12.5.
If there are more items on the next page, the PgDn=Next label at the bottom of
the screen will be highlighted. If this label is highlighted, pressing the PgDn
key will bring up the next page of items. Similarly, if there are items on a
previous page, the PgUp=Prev label will be highlighed.
If you wish to delete an item from the PO, space out the Stock Number field.
When all the vendor, item and quantity information has been entered, press the
F5 key to produce the PO. To display the total price without producing the PO,
press the Enter key. The system uses the amount in the Cost field on the Item
screen as the unit price of each item. No discounts are applied.
Alternatively, you can enter the quantity in the Qty field and the stock number
in the Stock Number field. When you have filled in all the stock number lines,
pressing the PgDn key will enable you to enter more stock numbers. Pressing the
Enter key will allow you to preview the total price and cause the system to fill
in the Description and Price fields. Pressing the F5 key will create the PO.
When you press the F5 or Enter keys, the system will fill in the Description or
Price fields if they are blank. This means that if you want the system to fill
in a field, it must be blank. For example, if you change the stock number and
the Description and Price fields are filled in, the system will not fill in
these fields. You need to space out these fields first. If you want to change
the Price field to zero, you must enter a zero in this field. Spacing out the
Price field will cause the system to fill in a value. You can override the value
in any field by typing over it. For example, to override the price for an item,
tab to the proper price field and type in the new price.

The system will take the produced PO into the system editor. From here you can
edit and print the document. Please refer to the instructions for the System
Editor on its operation. In the System Editor, form feed characters show up as
uppercase L's in column 1. If you have a color monitor, the form feed characters
show up as white colored L's while the rest of the text is yellow colored. Form
feed characters are used to tell a printer to skip to the top of a new page.
When you return from the System Editor, the system will update the Last Activity
date field on the vendor record for the current vendor. It will also save the
current PO and update the quantity on order for each item on the PO.
Pressing the F3 key will toggle the cursor between the Vendor, the first Qty
and the first Stock No fields. If the cursor is in any of the vendor fields,
pressing the F3 key will advance the cursor to the first Qty field. If the
cursor is in any of the Qty fields, pressing the F3 key will advance the cursor
to the first Stock No field. If the cursor is in any other field, pressing the
F3 key will advance the cursor to the Vendor field.
Pressing the F6 key will display a menu.
Selection A is used to retrieve previously saved PO's. The system will restore
to the screen everything that was on the screen when the PO was saved. It will
also restore the editor file (PODOC.PRT) containing the PO that was produced.
PO's are retrieved by vendor id. Therefore, you must first fill in the Vendor
field. Once a PO has been restored, you can modify the data on the screen and
produce the PO again by pressing F5 or use Selection D to edit and/or printout
the PO as it exists. If you recreate a PO by pressing F5, the system will
automatically update the quantity on order for the items on the PO. The system
will back out the old quantities and replace them with the updated quantities.
A PO which has items that have been fully or partially received can't be
recreated by pressing the F5 key. To change the PO, you must: (1) Use the
Receive PO screen to back out the quantities received (2) Update the PO and
recreate it by pressing the F5 key (3) Use the Receive PO screen to re-enter
the quantities received. The system will automatically change the current
template to the template that was used to create the retrieved PO. This template
will remain in effect until you change it to another template.
Selection B is used to delete PO's that are no longer needed. The system
displays the PO number, the date it was created and the comments associated with
it in a window. When the highlight is at a PO, pressing the Enter key will
select/unselect the PO. Pressing the Esc key will exit you from the window and
delete all the selected PO's.
Selection C allows you to the change the template that is used in producing
PO's. If you change the template, the new template will become the default
template until you change it. The name of the current template is displayed in
the upper right hand corner of the screen.
Selection D allows you to re-edit or print out the last PO that was created by
the system.
When the system returns from the System Editor, the vendor, item and quantity
information is exactly the same as it was before. You can modify the vendor
information and quantities and produce another PO if that is desired. To start
fresh with new information, press the F9 key to clear the screen.
To exit the screen, press Esc.

This screen is used to receive items on a purchase order. You select the PO from
a pick list and enter the quantities received. The system updates the quantity
on hand on the part record.
To select a PO, position the cursor in the PO Number field and press F8. Select
the proper vendor and PO number from the pick lists displayed. Upon selecting
the PO, the system will fill out the screen with the PO information. If the PO
has more than 11 items, the PgDn=Next label will be highlighted. You can use the
PgDn and PgUp keys to scroll through the items.
Fill in the Qty fields with the quantities received. The quantity received can
be greater than the Qty Ordered (overshipment) or less than the Qty Ordered
(partial shipment). The quantity received can also be negative for defective
items returned to the vendor. The amount in the Qty field is added to the Qty
Rec To Date field on this screen and to the Qty On Hand field on the Item
screen.
After you have filled in the Qty fields with the quantities received, press F5
or Enter.
When all of the items have been fully received, the system will automatically
change the Status field to CLOSED. This will eliminate the PO from the Open PO
report.
Sometimes a vendor is not able to supply the full quantity of an item. You can
force the system to close the purchase order by changing the amounts in the Qty
Ordered field to the amounts in the Qty Rec To Date field. This is called
closing a PO short.
To select another PO, simply position the cursor in the PO Number field and
press F8. To exit the screen, press Esc.

HOW TO DELETE CLOSED POs
Option C under the Purchase Orders selection on the Main Menu is used to delete
closed purchase orders. A purchase order is closed when all of the items have
been fully received. The user is prompted for the number of days a purchase
order has been closed. Any purchase orders which have been closed for at least
the specified number of days are deleted.

HOW TO USE INVENTORY CONTROL
A. GETTING STARTED
o On the Item Info screen, update the following fields on the items you
wish the system to track inventory:
(a) Keep Inventory (Enter 'Y' in this field)
(b) Min Qty (Enter the minimum quantity you wish to keep on hand)
(c) Max Qty (Enter the maximum quantity you wish to keep on hand)
(d) Vendor (Enter the vendor you purchase this item from)
(e) Vendor Stock No (Enter the vendor's stock number)
(f) Cost (Enter the price the vendor charges for this item)
o On the Vendor screen, enter the vendors.
o Run the Physical Inventory report. Take a physical inventory and enter
the physical quantities on the report. Once you have completed the
physical inventory, enter the physical quantities in the Qty On Hand
field on the Item Master Info screen.
o Add the symbolic parameter @B (backorder quantity) to your invoice
template(s) if you are using customized invoice template(s). The default
invoice template installed by the system already contains this parameter.
See the section on How To Customize Templates.
B. ISSUING INVENTORY
o On the Produce Quote/Invoice screen, if the template is an invoice
template, the system will prompt you as to whether you wish to finalize
the invoice. If you answer with 'Y', the system will update for inventory
items, the quantity on hand and record backorders for items that are out
of stock. It will also update the YTD quantity sold.
C. CUSTOMER RETURNS
o To return items to inventory, create an invoice on the Produce Quote/
Invoice screen and enter negative quantities.
D. REORDERING INVENTORY
o Run the Items To Reorder report. This report lists inventory items where
the quantity on hand is less than the minimum quantity and the quantity
to reorder is greater than zero. The quantity to reorder is calculated as
follows: Max Qty - Qty On Hand + Backorder Qty - Qty On Order.
o Use the Produce PO screen to create purchase orders to reorder inventory
items.
o The Items On Order report can be run to list all items that are on order.
E. RECEIVING INVENTORY
o Use the Receive PO screen to receive inventory items.
F. BACKORDERS
o The Items Backordered report lists by customer, items that are
backordered.

o The Fillable Backorders reports lists by customer, items that are
backordered where there is sufficient stock to fully or partially fill
the backorder.
o To fill backorders on the Fillable Backorder report, enter an invoice
for each customer. Do not mix invoices that are used to fill backorders
with invoices for new orders. Enter a separate invoice for each. On the
Produce Quote/Invoice screen, if the template is an invoice template and
backorders exist for the customer, the system will ask you if the
invoice is to be used to fill backorders.
o Backorders may be viewed and deleted for a customer on the Customer
screen.
G. PHYSICAL INVENTORY
o Run the Physical Inventory report. Take a physical inventory and enter
the physical quantities on the report. Once you have completed the
physical inventory, enter the physical quantities in the Qty On Hand
field on the Item Master Info screen.
H. RESETTING THE YTD QTY SOLD FIELD
o Once a year, the YTD sales figures for each item must be reset. To reset
these figures, use the Zero YTD Totals selection under Database Utilities
on the Utilities menu.
I. DELETING PURCHASE ORDERS
o To save disk space, purchase orders that have been closed for a certain
number of days should be deleted. Use the Delete PO option under the
Purchase Order selection on the Main Menu to accomplish this.

HOW TO CUSTOMIZE/CREATE TEMPLATES
The system comes with several templates. You can use the Templates option under
the Utilities selection to customize these templates and create other templates.
The Quote/Invoice Template field of the Change General Settings screen contains
the name of the template used to produce quotes/invoices. The PO Template field
of the Change General Settings screen contains the name of the template used to
produce PO's. The Label Template field of the Change General Settings screen
contains the name of the template used to print labels. The Statement field of
the Change Cust/Vendor Settings screen contains the name of the template used to
produce customer statements. The Reminder Notice field of the Change Cust/Vendor
Settings screen contains the name of the template used to produce reminder
notices. The Letter field of the Change Cust/Vendor Settings screen contains the
name of the template used to produce letters.
Templates contain symbolic parameters, print font directives and text.
Parameters start with the character '@' and are filled in by the system. Print
font directives start with the character '^' and are used to specify different
print fonts. Text is user defined and is printed as is. The parameters, font
directives and text on the sample templates can be moved around, deleted, added
and customized as required.
Symbolic parameters are replaced with data by the system. The replacement starts
in the column where the parameter starts (i.e. in the column where the '@' is).
The parameter is deleted from where it's found and replaced with data for the
length of the data value. Some data value lengths are fixed by the system and
others are variable and depend upon the actual number of characters present.
For example, the length for the parameter @Description is variable and depends
upon the number of characters in the actual item description. The length for the
parameter @EPrice on the other hand is fixed by the system at 10 positions.
The first line of any template file is a comment line. The comment line is
limited to 40 characters. The comment line must contain the following keywords:

HOW TO PRINT LABELS
Labels can be printed from the Report selection on the Main Menu or on the F6
menu on the Produce Quote/Invoice screen.
The selection Print Test Labels prints test labels to help you align the labels
on your printer.
If labels are printed from the Report selection on the Main Menu, the parameter
@INV# is substituted with blanks. When labels are printed from the F6 menu on
the Produce Quote/Invoice screen, a label is printed for the current quote/
invoice and the parameter @INV# is substituted with the current quote/invoice
number. If you are printing labels from the Produce Quote/Invoice screen, you
should print the label after you have first pressed the F5 key and produced the
quote/invoice. This is because the quote/invoice number is not assigned until
after you press the F5 key.
When you are printing labels, the system will ask you whether you wish to print
labels with the Bill To or Ship To address. The system substitutes Bill To or
Ship To address information into the label template depending upon the selection
made by the user.

HOW TO USE DIFFERENT PRINT FONTS
Different print fonts can be specified on templates. A print font directive is
specified in the following manner:
^n where n is a number (0 to 9) which specifies the print font
The first time ^n is encountered, the system activates the specified font. The
next time ^n is encountered, the system de-activates the specified font. The
system deletes the ^n and replaces it with the escape sequence for the specified
font. The character Escape shows up in the System Editor as a white left
bracket. Since escape characters are instructions to the printer and are not
printed, the print line is shifted to the left 2 positions for every print font
directive that is substituted. The user should be careful when placing print
font directives after symbolic parameters. For example, the following is an
error:
@GTOTAL^5
@GTOTAL is an 11 character field when substitued by the system. The substitution
starts at the column @GTOTAL is in and continues for 10 additional columns. In
this example, the ^5 will be overlaid when @GTOTAL is substitued. The proper way
to specify this print font directive is:
@GTOTAL ^5
Print font directives are defined in print control files. The Print Control File
field on the Change General Settings screen defines the current print control
file. Print control files must have an extension of .CTL and must be located in
the same sub-directory as your Power Quote database. You can create your own
print control files or use one of the four default print control files. The
default print control files can be modified as required.
The following is a sample print control file:

The layout of this file is as follows:
The symbol "{" signifies a comment. Everything to the right is ignored. Column 1
contains the print control directive identifier (0 - 9) or 'S' if the line
contains the printer setup string. The subsequent columns contain the ascii
codes to turn on/off the print font. The ascii codes are separated by a space
and the codes to turn on/off the print font are separated by a comma. An escape
sequence to turn off a print font need not be specified if it doesn't apply.
Print control directive identifier 2 must contain the ascii codes to turn
condensed print on / off. The other print control directive identifiers can
specify user print fonts.

HOW TO USE THE QUICKEN INTERFACE
Power Quote sends invoice and payment information to Quicken by writing it to a
file that is imported into Quicken. To use the Quicken interface to track
accounts receivable:
(1) Answer 'Y' when the installation program asks if you wish to use the
Quicken interface. The system will then ask you for the name of the sub-
directory to place the Quicken interface file.
(2) Update the Quicken Bank Acct and Include Cust Id fields on the Change
General Settings screen. The Bank Acct field contains the name of the
account used to record payments on accounts receivable. The Include Cust
Id field is a 'Y' or 'N' field. If this field is 'Y', the system will
append the customer id to the end of the customer name before writing it
to the Quicken interface file. This is useful when you have two customers
with the same name. Quicken can't distinguish between two customers whose
names are spelled the same.
On the Produce Quote/Invoice screen, the system will write a record to the
Quicken interface file when you finalize an invoice. The sale will be recorded
in Quicken using the sales category entered in the Sales Cat field. If there is
a payment at the same time the invoice is entered, both a sales and payment
record will be created.
On the Record Payments screen, the system will write a payment record to the
Quicken interface file when a payment is entered.
To import invoice and payment information into Quicken:
(1) Exit Power Quote and start up Quicken.
(2) Use selection 4 (Select Account) on the Main Menu to select your accounts
receivable account.
(3) Press F2 (Acct/Print). This will open a pull-down menu. Select option 6
(Import).
(4) Enter sub-dir\QUICKEN.PCQ in the File field where sub-dir is the name of
the sub-directory where you told Power Quote to place the Quicken interface
file. Press Enter. If you are using Quicken 3.0, answer 'Y' to the
question: Include items which are transfers (Y/N)? If you are using
Quicken 4.0, answer 'N' to the question: Special handling for transfers
(Y/N)? Press Enter.
After you have successfully imported sales and payment information into Quicken,
the Quicken interface file must be cleared. This is because Power Quote always
adds new information to the end of this file. Use option H under the Utilities
Menu to the clear the Quicken interface file.
